How do you manage workshop orders digitally in a bike shop?
A workshop order in Klar-ID brings together customer, bike, work, parts and progress – from intake to pick-up.
In short: in Klar-ID you create a workshop order for every repair. It contains customer, bike, work, spare parts and the current progress. So your team has all information in one place – from intake to pick-up.
Why an order should bring everything together
A lot comes together in a workshop. A customer brings in their bike. You note the problem. Then you need parts, prepare a cost estimate and call the customer. If this information sits on notes, in people's heads and in different programs, something easily gets lost.
A digital workshop order keeps everything together. Everyone in the team sees what needs to be done and how far the work has progressed.
The four steps of an order
- Intake: you enter customer and bike in the order and record the request. If the bike is already known, you find it again via the existing data.
- Cost estimate: you put together work and parts. The customer receives a quote for approval.
- Repair: you carry out the work. You take parts from stock or order them. You keep the progress up to date.
- Completion: you notify the customer when the bike is ready for pick-up. At pick-up you complete the order.
See the progress at a glance
Every order has a status, for example «In progress», «Waiting for part» or «Clarification». If a part is still missing, the order shows «Waiting for part». Your team can also set the status themselves. So in the morning you know right away which bikes are ready and which are waiting.
Enter customer and bike data only once
You enter customer and bike only once. For the next order you simply select them. The completed work stays linked to the bike. On the next visit you see in the service history what was done last.
Clarify extra costs properly
Sometimes it only becomes clear during the repair that more needs to be done. The customer can approve or decline changes to the quote, such as extra costs beyond the agreed limit. So there are no surprises at pick-up.
Who it suits
Workshop orders are designed for bike shops with their own workshop: from the small bike shop to the workshop with several mechanics. More details on the workshop orders page. How customers and bikes are linked is explained in the article Customer and bike records.
Frequently asked questions
Do I have to enter customer and bike data again for every order?
No. You enter customer and bike once, for example at the first workshop intake. For the next workshop order you simply select them, and the data is in the order without typing it again. The completed work stays linked to the bike, so on the next visit you have the service history right in front of you. You create new bikes once when needed and assign them to the customer.
How do I see which orders are waiting for parts?
As long as the required parts have not arrived, the order shows the status «Waiting for part». So you see at a glance which bikes are ready and which are waiting. Other statuses are, for example, «In progress» or «Clarification»; your team can also set the status themselves. You order missing parts via the cart, and after goods receipt stock and orders are up to date immediately.
