How do you get from quote to invoice in a bike shop?
In Klar-ID the invoice is created directly from the workshop order or sale. You do not have to enter work and parts again.
In short: in Klar-ID you put together a cost estimate in the workshop order. The customer approves it. After the work you create the invoice from the same order. You do not have to enter work and parts a second time.
Why double entry costs time
Many workshops write the quote in one place and the invoice in another. Then you type work and parts twice. That costs time, and mistakes happen. A part is missing on the invoice, or a price is wrong.
The way in Klar-ID
- Cost estimate: in the workshop order you put together work and parts. The customer receives a quote for approval.
- Approval: the customer accepts the quote. If something changes, such as extra costs beyond the agreed limit, they can approve or decline the change.
- Repair: you do the work. Everything used is in the order.
- Invoice: you complete the order or sale and create the invoice from it.
- Payment: you record the payment for the invoice.
Clear agreements with the customer
A quote before the repair creates clarity. The customer knows what to expect. You know you can get started. If extra costs come up, you get approval before you continue.
What happens next
You keep income and expenses in the cash book. You can export invoice and cash data for your accountant and bookkeeping. More in the article Cash book in the bike shop.
Do you need invoices as e-invoices? Klar-ID creates and receives e-invoices in the XRechnung and ZUGFeRD formats. The article What is an e-invoice? explains it.
What is included in Bikeshop

Frequently asked questions
Do I have to re-enter work and parts for the invoice?
No. The invoice is created directly from the workshop order or sale. Work and parts in the order are invoiced without entering them again. You complete the order, create the invoice and record the payment. Income and expenses then appear in the cash book and can be exported for your accountant and bookkeeping. More on the POS & cash book page.
Can the customer approve the cost estimate?
Yes. In the workshop order you put together work and parts, and the customer receives a quote for approval. If something changes during the repair, for example extra costs beyond the agreed limit, the customer can approve or decline the change before you continue. So the customer knows what to expect, and there are no surprises at pick-up. You then create the invoice from the same order.
Are quotes and invoices included in Bikeshop?
